Before We Begin

Volunteering is a mitzvah — an act of service that holds our community together. Before we open the doors, let's take a moment to ground ourselves in that purpose.

📱 Option A — Scan Their QR Code
Ask the guest to open their registration confirmation email and show you their e-ticket QR code
Open your phone camera or any QR code scanning app — no special app needed
Hold it over the QR code, then tap the Zeffy link that appears
Tap Yes when asked if you are a staff member or volunteer
✅ Valid ticket — page shows green · ❌ Already scanned — page shows the date it was scanned
🔍 Option B — Search by Name in Check-In Manager
Open the Shabbaton Check-In Manager — the link above works on any device, no login needed
Find the guest's name — if they bought multiple tickets, each guest is listed on a separate line numbered #1, #2, etc.
Tap the circle to the left of their name to check them in — it turns into a green checkmark ✅
To undo a check-in, tap the circle again — they'll count as not attended
All devices sync automatically — no limit on how many volunteers can use it at once
📄 Option C — Paper Guest List (Shabbat-Friendly)
Find the guest's name on the printed list
Check them off
Give them a name tag and any handouts
Welcome them warmly — that's what matters most
Can't find their name
  • Try a different spelling
  • Search whoever bought the tickets — they may have registered for the group
  • Still nothing? Check the printed guest list, then let them in and flag it
🔁 Already scanned
Ask their name to confirm, then let them in. You can undo and redo a check-in if needed.
🕍 Attending services but not registered for Shabbaton
  • Make them a name tag
  • Welcome them warmly to HBT
  • Let them know they are welcome to join for services
"Welcome! So glad you're here. Feel free to join us for services."
😤 Guest is upset
